Due to continued growth and expansion, a vacancy has arisen at Induchem Ireland for the position of Quality & Certification Administrator to join our Quality, Sustainability & Compliance Team.
The Role
Reporting directly to the QHSE & Certification Lead, the Quality & Certification Administrator supports the management of certification, documentation, and related quality activities for customer day‑to‑day orders and projects-based orders, ensuring compliance with customer requirements, applicable standards, and internal procedures throughout the order lifecycle.
The role focuses on the preparation, review, and control of certification and documentation packages, ensuring accuracy, completeness, traceability, and timely issue in line with contractual and regulatory requirements. The position also supports quality assurance activities by assisting with the inspection and verification of incoming materials, maintaining material batch traceability, and supporting the controlled release of materials to stock and/or production in accordance with approved procedures.
The Quality & Certification Administrator further assists with the identification of documentation or material‑related non‑conformances, supports corrective actions, and contributes to continuous improvement initiatives relating to certification and documentation control.
Responsibilities
Key Responsibilities
- As part of the Quality and Certification team, manage end‑to‑end certification and documentation requirements for customer orders, ensuring compliance with contractual, regulatory, and internal quality requirements.
- Prepare, review, control, and upload customer certification and documentation in accordance with Quality procedures, including submission to customer portals where required.
- Review Vendor Document Registers / Schedules (VDRs) in collaboration with the Project team to confirm that all documentation requirements are clearly defined, agreed with the customer, and achievable within project timelines.
- Review and verify vendor‑supplied certification and documentation to ensure compliance with customer specifications and purchase order requirements.
- Support the Project Administration team in the compilation and completion of final project handover documentation packs, ensuring accuracy, completeness, and traceability.
- Assist with the inspection and verification of incoming production materials, confirming alignment with purchase order and certification requirements, and assign material batch numbers prior to controlled release to stock and/or production.
- Ensure all quality and certification records are accurately filed, maintained, and controlled within the management system.
- Liaise with external stakeholders as required, including suppliers and customers, to resolve documentation and certification queries.
- Act as the key point of contact for certification‑related queries, providing regular status updates and reports to the QHSE & Certification Lead and relevant internal stakeholders.
- Identify documentation or certification discrepancies and support corrective actions in line with quality procedures, contributing to continuous improvement initiatives within the Quality and Certification function.
- Perform additional duties, within the scope of the role, as required to support the organisation and uphold its Quality, Health & Safety, and Environmental standards.
- Collaborate cross‑functionally with internal departments, ensuring all interactions reflect the organisation’s values, professionalism, and commitment to quality.

Required Skills & Experience:
- Minimum 4 years’ experience in documentation, certification, quality administration, or similar role within a customer‑focused manufacturing, engineering, or regulated environment.
- Demonstrated experience managing technical documentation and certification for customer orders or projects, with the ability to work accurately to defined procedures and deadlines.
- Strong organisational and planning skills, with the ability to prioritise tasks and manage multiple activities concurrently.
- High level of attention to detail, particularly when reviewing certification, supplier documentation, and customer‑specific requirements.
- Ability to work effectively as part of a team while also demonstrating initiative and autonomy when managing assigned responsibilities.
- Strong written and verbal communication skills, with the ability to liaise professionally with customers, suppliers, and internal stakeholders.
- Competent user of document management systems (e.g. SharePoint) and standard office software.
- Knowledge of quality systems, certification requirements, or applicable standards (e.g. ISO 9001, PED, EN / ASME documentation) is advantageous but not essential.
